This Privacy Policy describes the general principles governing the collection and Processing of Personal Data in connection with the use of the Services and the Platform.
The provisions of this Privacy Policy should be read together with any applicable Terms of Use, event-specific notices, or other policies governing the operation of the Services.
Where additional privacy disclosures are provided in connection with a specific Event, feature, or interaction with the Platform, such disclosures may supplement this Privacy Policy to the extent applicable.
1. Introduction
Onevie ("Onevie," "we," "our," or "us") operates a digital event management platform that enables the creation, registration, management, and coordination of conferences, summits, workshops, conventions, trade shows, networking events, and similar gatherings (collectively, the "Services").
The Services are delivered through the Onevie Platform, which may include web-based interfaces, administrative dashboards, registration systems, mobile-enabled interfaces, and physical event check-in infrastructure such as touchscreen registration terminals and badge printing systems used at Events.
This Privacy Policy describes how Onevie collects, processes, uses, stores, protects, and shares Personal Data in connection with the use of the Services and the operation of the Platform.
The purpose of this Policy is to provide clear and transparent information regarding our data handling practices and to ensure that the collection and Processing of Personal Data through the Services occurs in accordance with applicable data protection laws and regulatory frameworks.
This Privacy Policy applies to Personal Data collected through the use of the Services, including through the Platform and Event Hardware Devices deployed at Events. It does not apply to third-party websites, services, or platforms that may be accessed through links provided within the Services, which remain governed by the privacy policies of those third parties.
2. Definitions
For purposes of this Privacy Policy, the following terms shall have the meanings set forth below unless the context otherwise requires.
Personal Data: Any information relating to an identified or identifiable natural person. An identifiable natural person is one who can be identified, directly or indirectly, by reference to identifiers such as a name, identification number, location data, online identifier, or to one or more factors specific to that person's physical, physiological, genetic, mental, economic, cultural, or social identity.
Event Organizer: Any individual, organization, company, or entity that creates, administers, or manages an Event through the Onevie Services and determines the purposes for which attendee information is collected and used in connection with that Event.
Attendee: Any individual who registers for, participates in, attends, or otherwise interacts with an Event managed through the Onevie Services.
Processing: Any operation or set of operations performed on Personal Data, whether by automated means or otherwise, including the collection, recording, organization, structuring, storage, adaptation, retrieval, consultation, use, disclosure by transmission, dissemination, alignment, restriction, erasure, or destruction of such data.
Data Controller: The natural or legal person, public authority, agency, or other body that determines the purposes and means of Processing Personal Data.
Data Processor: A natural or legal person, public authority, agency, or other body that Processes Personal Data on behalf of a Data Controller.
Services: The event management services provided by Onevie, including the operation of the Platform and any associated systems used to facilitate event registration, attendee management, event check-in, badge printing, attendance tracking, and related event administration functions.
Platform: The digital infrastructure operated by Onevie through which the Services are delivered, including web interfaces, administrative dashboards, registration systems, and integrated technologies supporting event management and attendee participation.
Event: Any conference, summit, workshop, convention, trade show, networking event, meeting, or similar gathering created or administered through the Onevie Services.
Event Hardware Devices: Physical devices deployed at Events to facilitate attendee registration, check-in, badge printing, or attendance tracking, including touchscreen registration terminals and badge printing systems connected to the Platform.
Third-Party Service Providers: External vendors or service providers engaged by Onevie to support the operation of the Services, including providers of cloud infrastructure, analytics tools, communications systems, or other technical services necessary for the functioning of the Platform.
User: Any individual or entity that accesses or uses the Services, including Event Organizers, Attendees, and authorized platform administrators.
Attendee Data: Personal Data submitted by, or collected from, Attendees in connection with their registration for or participation in an Event managed through the Services.
3. Scope of Policy
This Privacy Policy governs the collection and Processing of Personal Data in connection with the operation and use of the Services and the Platform.
Without limitation, this Policy applies to Personal Data collected through:
- the Onevie website and associated web interfaces;
- the Platform and related event management systems;
- event registration forms and attendee management interfaces hosted through the Services;
- Event Hardware Devices, including event check-in terminals and badge printing systems deployed at Events;
- communications between users and Onevie, including customer support interactions; and
- any other interaction with the Services through which Personal Data is submitted to or collected by Onevie.
This Privacy Policy applies to individuals and entities interacting with the Services, including:
- Event Organizers who create or manage Events through the Platform;
- Attendees who register for or participate in Events administered through the Services; and
- visitors or other Users who access or interact with the Onevie website or Platform.
4. Data Controller and Data Processor Roles
The role assumed by Onevie in relation to the Processing of Personal Data varies depending on the nature of the interaction with the Services and the context in which the data is collected.
In certain circumstances, Onevie acts as a Data Processor on behalf of Event Organizers, while in other circumstances Onevie acts as a Data Controller with respect to Personal Data necessary for the operation and administration of the Platform.
The allocation of these roles is described below.
4.1 Event Organizer Data (Processor Role)
When an Event Organizer uses the Services to create or administer an Event, the Event Organizer determines the purposes and means of Processing Attendee Data collected through the Platform.
In such circumstances:
- the Event Organizer acts as the Data Controller in respect of Attendee Data; and
- Onevie acts as a Data Processor, processing such data solely for the purpose of providing the Services.
Accordingly, the Event Organizer is responsible for determining:
- what Personal Data is collected from Attendees;
- the purposes for which such data is collected and used;
- the legal basis for Processing the data under applicable data protection laws; and
- the manner in which the Event Organizer communicates its privacy practices to Attendees.
Onevie does not independently determine the purposes for which Attendee Data is processed in connection with a specific Event. Instead, Onevie provides the technical infrastructure and tools necessary to enable Event Organizers to collect, manage, and administer Attendee Data through the Platform.
In performing its role as Data Processor, Onevie Processes Attendee Data:
- only in accordance with the documented instructions of the relevant Event Organizer;
- solely for the purpose of providing and maintaining the Services; and
- subject to appropriate technical and organizational safeguards designed to protect Personal Data.
Event Organizers remain responsible for ensuring that their use of the Services and their collection of Attendee Data comply with applicable privacy and data protection laws.
4.2 Platform User Data (Controller Role)
In certain circumstances, Onevie independently determines the purposes and means of Processing Personal Data. In such cases, Onevie acts as a Data Controller.
This includes Personal Data processed for purposes related to the operation, administration, and improvement of the Platform, including but not limited to:
- account registration and user authentication;
- administration of Event Organizer accounts;
- management of platform security and fraud prevention;
- technical support and customer service interactions;
- communications relating to the operation of the Services; and
- analytics and operational improvements necessary to maintain and enhance the Platform.
In these contexts, Onevie determines:
- the categories of Personal Data collected;
- the purposes for which such data is processed; and
- the safeguards implemented to protect such information.
Where Onevie acts as a Data Controller, Personal Data is processed in accordance with this Privacy Policy and applicable data protection laws.
5. Categories of Data Collected
Depending on the manner in which the Services and Platform are used, Onevie may collect or Process various categories of Personal Data necessary for the operation, administration, and improvement of the Services.
The categories of Personal Data that may be collected include the following.
5.1 Account Information
Personal Data provided by Users, including Event Organizers, when creating or managing accounts on the Platform. This may include:
- name;
- email address;
- telephone number;
- organization or company name; and
- information necessary to administer Event Organizer accounts and manage Events through the Services.
Such information is used primarily for account creation, authentication, and administration of the Platform.
5.2 Event Registration Information
Personal Data submitted by Attendees during registration for an Event managed through the Services.
Depending on the configuration established by the relevant Event Organizer, this information may include:
- name;
- contact information such as email address or phone number;
- professional affiliation or organization; and
- other registration details relevant to participation in the Event.
This information forms part of Attendee Data and is collected and controlled by the Event Organizer in connection with the administration of the Event.
5.3 Event Attendance Data
Personal Data generated in connection with an Attendee's participation in an Event and interaction with the Services or Event Hardware Devices. This may include:
- event check-in timestamps;
- attendance records;
- badge identification data; and
- session participation information where session tracking features are enabled by the Event Organizer.
Attendance data is used to facilitate event administration, attendee management, and operational reporting associated with the Event.
5.4 Technical and Device Information
Technical information automatically generated through the use of the Platform and associated digital interfaces. This may include:
- Internet Protocol (IP) address;
- browser type and version;
- device type;
- system log files; and
- usage statistics relating to interaction with the Services.
Such information assists in maintaining platform security, diagnosing technical issues, and improving the performance and reliability of the Services.
5.5 Communication Data
Personal Data provided by Users when communicating with Onevie, including through customer support requests, feedback submissions, or other direct communications.
This may include information contained within support inquiries, correspondence with Onevie personnel, or other communications relating to the operation of the Services.
6. Methods of Data Collection
Personal Data may be collected through several mechanisms associated with the operation and use of the Services and the Platform. The methods through which such information may be collected include the following.
6.1 Direct User Input
Personal Data may be provided directly by Users, including Event Organizers and Attendees, when interacting with the Services. Such data may be submitted during activities including:
- account creation and platform registration;
- Event registration and related attendee information submissions;
- attendee check-in and badge generation processes; and
- customer support requests, inquiries, or communications with Onevie.
Information provided through these interactions form part of the data necessary for the operation and administration of the Services.
6.2 Platform Usage
Certain information may be generated automatically through a User's interaction with the Platform and the digital interfaces through which the Services are delivered.
Such information may include data relating to platform activity, navigation patterns, system interactions, and other operational metrics necessary for maintaining the functionality, security, and performance of the Services.
6.3 Event Hardware Devices
In connection with the administration of Events, Onevie may deploy Event Hardware Devices designed to facilitate attendee registration and check-in processes.
These devices may include:
- touchscreen registration terminals; and
- badge printing systems integrated with the Platform.
Event Hardware Devices collect and transmit attendee registration and attendance information to the Platform through secured network connections in order to support real-time event management and attendance tracking.
6.4 Automated Technologies
Onevie may utilize automated technologies, including cookies and analytics tools, to collect information regarding how Users interact with the Services.
These technologies assist Onevie in:
- maintaining user sessions;
- improving platform functionality and performance;
- analyzing usage patterns; and
- enhancing the overall reliability and security of the Services.

7. Lawful Basis for Processing
Where required under applicable data protection laws, Onevie Processes Personal Data only where a valid legal basis for such Processing exists.
Depending on the context in which the Services and Platform are used, Personal Data may be Processed on the basis of one or more of the following lawful grounds.
7.1 Contractual Necessity
Personal Data may be Processed where such Processing is necessary for the performance of a contract or for the provision of the Services requested by a User.
This includes Processing required to:
- create and administer User accounts on the Platform;
- facilitate Event registration and attendee management;
- enable event check-in and attendance tracking through the Services; and
- provide functionality necessary for the operation of the Platform.
Without such Processing, Onevie may be unable to provide certain features of the Services.
7.2 Legitimate Interests
Onevie may Process Personal Data where such Processing is necessary for the legitimate operational interests of the company, provided that such interests are not overridden by the rights and freedoms of the relevant data subjects.
Legitimate interests may include Processing necessary to:
- operate, maintain, and improve the Platform and Services;
- ensure the security, integrity, and reliability of the Services;
- detect and prevent fraud, misuse, or unauthorized access; and
- analyze usage patterns in order to enhance platform functionality and performance.
Where Processing is based on legitimate interests, Onevie seeks to ensure that appropriate safeguards are implemented to protect Personal Data.
7.3 Consent
Personal Data may be Processed where a User or Attendee has provided explicit consent for a specific purpose.
Where Processing is based on consent:
- consent will be obtained prior to the relevant Processing activity; and
- individuals may withdraw their consent at any time, subject to applicable legal or operational limitations.
Withdrawal of consent will not affect the lawfulness of Processing conducted prior to such withdrawal.
7.4 Legal Compliance
Personal Data may also be Processed where such Processing is necessary to comply with legal or regulatory obligations to which Onevie is subject.
This may include Processing necessary to:
- comply with applicable laws or regulatory requirements;
- respond to lawful requests from public authorities;
- enforce contractual rights or platform policies; or
- protect the legal rights, safety, and security of Onevie, its Users, or other individuals.
8. How Personal Data Is Used
Personal Data collected through the Services and the Platform may be Processed for purposes necessary to operate, maintain, and improve the functionality of the Services, as well as to facilitate the administration of Events managed through the Platform.
Depending on the context in which Personal Data is collected, such information may be used for one or more of the following purposes.
8.1 Provision of the Services
Personal Data may be Processed to provide, operate, and maintain the Services and the Platform. This includes Processing necessary to:
- create and manage User accounts;
- administer Event Organizer accounts and event management features;
- enable Event registration and attendee management; and
- facilitate attendee check-in, badge generation, and attendance tracking through the Platform and associated Event Hardware Devices.
8.2 Event Administration
Where the Services are used by an Event Organizer to administer an Event, Attendee Data may be Processed to support the operational management of the Event.
This may include Processing necessary to:
- manage event registration records;
- verify attendee identity during event check-in;
- generate badges or credentials for Event participation; and
- maintain attendance logs or session participation records where such functionality is enabled.
Such Processing is conducted in accordance with the instructions of the relevant Event Organizer.
8.3 Platform Operation and Improvement
Personal Data may be Processed in order to operate, maintain, and improve the reliability, functionality, and performance of the Platform.
This may include Processing necessary to:
- monitor system performance and usage patterns;
- diagnose technical issues and maintain platform stability; and
- develop and improve platform features and operational capabilities.
8.4 Communications
Personal Data may be used to communicate with Users, including Event Organizers and Attendees, in connection with the Services.
This may include communications relating to:
- account administration;
- platform notifications or service updates;
- customer support responses; and
- other operational communications necessary for the effective functioning of the Services.
8.5 Security and Fraud Prevention
Personal Data may be Processed in order to maintain the security and integrity of the Platform and to detect, investigate, or prevent fraudulent or unauthorized activities.
This includes Processing necessary to:
- protect the Services against misuse or abuse;
- prevent unauthorized access to the Platform; and
- safeguard the security of User accounts and Event administration systems.
8.6 Legal and Regulatory Compliance
Personal Data may be Processed where necessary to comply with applicable legal or regulatory obligations, including responding to lawful requests from regulatory authorities or enforcing Onevie's contractual rights and platform policies.
9. Event Organizer Responsibilities
Event Organizers using the Services and the Platform are responsible for ensuring that their collection and use of Attendee Data comply with applicable privacy and data protection laws.
Because Event Organizers determine what information is collected from Attendees during Event registration and administration, Event Organizers generally act as the Data Controllers for such information.
Accordingly, Event Organizers are responsible for establishing the lawful basis for collecting and Processing Attendee Data and for ensuring that their use of the Services complies with applicable legal and regulatory requirements.
9.1 Organizer Compliance Obligations
Event Organizers using the Platform must take appropriate steps to ensure lawful handling of Personal Data associated with their Events. This includes responsibilities such as:
- providing appropriate privacy notices to Attendees regarding the collection and use of Personal Data;
- obtaining any consent required under applicable law before collecting or Processing Personal Data;
- ensuring that Personal Data collected through the Platform is used only for lawful and legitimate purposes related to the administration of the Event; and
- complying with applicable data protection laws, regulations, and industry requirements governing the collection and Processing of Personal Data.
9.2 Responsibility for Data Collection Practices
Event Organizers are solely responsible for determining the categories of Personal Data collected from Attendees through event registration forms, check-in processes, or other Event-related interactions facilitated by the Platform.
Event Organizers must ensure that any information requested from Attendees is appropriate, lawful, and necessary for the purposes of administering the Event.
Onevie does not independently control or supervise the content of registration forms, questionnaires, or other information requests configured by Event Organizers through the Platform.
9.3 Platform Role in Attendee Data Processing
Where Attendee Data is collected through the Services, Onevie Processes such data solely for the purpose of providing and operating the Platform and facilitating the administration of Events.
In these circumstances, Onevie acts as a Data Processor on behalf of the relevant Event Organizer and Processes Attendee Data in accordance with the instructions of that Event Organizer.
Event Organizers remain responsible for ensuring that their instructions and data collection practices comply with applicable privacy and data protection laws.
10. Sharing of Personal Data
Onevie does not sell Personal Data in a manner inconsistent with this Privacy Policy. Personal Data collected through the Services may be shared or disclosed in certain circumstances where such sharing is necessary for the operation of the Platform, the administration of Events, or where individuals have consented to such disclosure. Personal Data may be shared in the following circumstances:
10.1 Disclosure to Event Organizers
Where Attendees register for or participate in an Event administered through the Services, relevant Attendee Data may be made available to the applicable Event Organizer.
Event Organizers receive such information in their capacity as Data Controllers for the Event they administer. The Event Organizer determines the purposes for which Attendee Data is used and is responsible for ensuring that their handling of such information complies with applicable privacy and data protection laws.
10.2 Service Providers and Operational Partners
Onevie may share Personal Data with Third-Party Service Providers engaged to support the operation of the Platform and the delivery of the Services.
Such service providers may include vendors responsible for:
- cloud hosting and infrastructure services;
- analytics and performance monitoring tools;
- communication systems and notification services; and
- other technical services necessary for the functioning and maintenance of the Platform.
These service providers process Personal Data only for purposes consistent with the Services and are subject to contractual obligations requiring appropriate confidentiality and data protection safeguards.
10.3 Legal and Regulatory Disclosure
Personal Data may be disclosed where such disclosure is required or permitted by applicable law or legal process.
This may include disclosure necessary to:
- comply with legal obligations, regulatory requirements, or court orders;
- respond to lawful requests from public authorities;
- protect the rights, property, or safety of Onevie, its Users, or other individuals; or
- enforce contractual agreements, platform policies, or legal claims.
10.4 Protection of the Platform and Users
Onevie may disclose Personal Data where reasonably necessary to protect the integrity, security, or lawful operation of the Platform or to investigate potential violations of platform policies, fraud, or misuse of the Services.
10.5 Business Transfers and Corporate Transactions
Personal Data may be disclosed or transferred in connection with a corporate transaction involving Onevie, including a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction.
In such circumstances, Personal Data may be transferred to the relevant successor entity or acquiring organization as part of the transaction, provided that such entity agrees to process the Personal Data in a manner consistent with this Privacy Policy and applicable data protection laws.
Where required by applicable law, affected Users will be notified of any material change in the ownership or control of Personal Data resulting from such a transaction.
10.6 Law Enforcement and Lawful Requests
Onevie may disclose Personal Data to law enforcement authorities, regulators, courts, or other governmental bodies where such disclosure is required or permitted under applicable law.
Such disclosure may occur where Onevie reasonably determines that the request is necessary to:

- protect the rights, property, or safety of Onevie, its Users, or other individuals; or
- investigate or prevent suspected fraud, abuse, or unlawful activity involving the Services.
Where legally permissible, Onevie may take reasonable steps to review the validity and scope of such requests before disclosing Personal Data.
10.7 Marketing and Commercial Partnerships (Optional)
Onevie may from time to time work with event sponsors, partners, or service providers in connection with Events administered through the Platform.
Where Personal Data is shared with such partners for marketing or promotional purposes, such sharing will occur only where:
- the relevant Event Organizer has authorized such sharing; or
- the relevant Attendee has provided consent or opted in to receive communications from such partners.
Where possible, such partnerships may involve the sharing of aggregated, anonymized, or statistical information that does not identify individual Attendees.
11. Third-Party Service Providers
In order to operate and maintain the Services and the Platform, Onevie may engage certain Third-Party Service Providers to perform functions or provide technical services on its behalf.
Such service providers support the delivery and operation of the Services and may Process Personal Data solely for purposes necessary to perform services for Onevie.
These providers may include entities responsible for services such as:
- cloud hosting and infrastructure services;
- data storage and system architecture support;
- analytics and performance monitoring tools;
- communication and notification systems; and
- other technical or operational services necessary to maintain the functionality and reliability of the Platform.
11.1 Processing on Behalf of Onevie
Where Third-Party Service Providers Process Personal Data in connection with the Services, such Processing is carried out solely on behalf of Onevie and for purposes consistent with this Privacy Policy.
These providers are not permitted to use Personal Data for their own independent purposes.
11.2 Data Protection Safeguards
Onevie requires Third-Party Service Providers to implement appropriate technical and organizational safeguards designed to protect Personal Data against unauthorized access, disclosure, loss, or misuse.
Service providers engaged by Onevie are typically required to:

- Process Personal Data only in accordance with documented instructions from Onevie; and

Onevie uses cookies and similar tracking technologies in connection with the operation of the Services and the Platform in order to enhance functionality, maintain platform performance, and understand how Users interact with the Services.

Where such tools are used, they may collect limited technical information about device usage and interactions with the Platform for analytical purposes.
These analytics providers process such information in accordance with their own privacy practices and applicable data protection requirements.

Onevie implements technical and organizational safeguards designed to protect Personal Data against unauthorized access, loss, misuse, alteration, or disclosure.
These safeguards are intended to support the secure operation of the Services and the Platform, including the protection of Attendee Data, User account information, and other Personal Data Processed through the Services.
While no digital platform can guarantee absolute security, Onevie seeks to implement reasonable and appropriate measures designed to maintain the confidentiality, integrity, and availability of Personal Data.
13.1 Technical Security Measures
The Platform incorporates a range of technical safeguards designed to protect Personal Data and maintain the integrity of the Services. Such safeguards may include measures such as:
- encrypted transmission of data between devices and the Platform where appropriate;
- secure cloud infrastructure used to host and store platform data;
- authentication mechanisms designed to restrict access to authorized Users;
- system monitoring and logging mechanisms designed to detect potential security incidents; and
- technical controls designed to reduce the risk of unauthorized access or system misuse.
These safeguards are designed to support the secure operation of the Platform and the reliable administration of Events through the Services.
13.2 Organizational Security Measures
In addition to technical safeguards, Onevie maintains organizational practices designed to support responsible data protection and platform security.
These practices may include:
- internal access controls limiting access to Personal Data to authorized personnel;
- operational procedures designed to manage and protect platform data; and
- internal oversight relating to the handling and protection of Personal Data processed through the Services.
Such measures are intended to promote responsible management of Personal Data within the operation of the Platform.
13.3 Security of Event Hardware Devices
Where Event Hardware Devices are deployed in connection with the administration of Events, such devices are configured to transmit attendee registration and attendance information to the Platform through secured network connections.
These devices are designed to support secure event registration and attendance tracking processes while maintaining the integrity of data transmitted to the Platform.
13.4 Security Limitations
Although Onevie implements safeguards designed to protect Personal Data, no method of data transmission over the internet or electronic storage system can be guaranteed to be completely secure.
Accordingly, Onevie cannot guarantee the absolute security of Personal Data transmitted through the Services.
Users are encouraged to take reasonable precautions when accessing the Platform, including maintaining the confidentiality of account credentials.
14. Data Retention

Where applicable, Event Organizers may request deletion of Attendee Data associated with their Events in accordance with the functionality of the Platform and applicable data protection requirements.
